Tutor: money, the monthly report and pricing

Tracking lessons and payments, the monthly report, the pricing tier and tax settings.

Who this is for. A tutor who wants to understand where the numbers in the workspace come from: how much was earned, what is waiting to be paid, what to show the tax service and what the platform itself costs.

The main rule: money and obligations are different

The workspace keeps two separate accounts, and they are deliberately never mixed.

Obligations are what you are owed for lessons held. They are counted from lessons: the price of a lesson times the number of them. No money has moved anywhere.

Money is what the platform actually received from a student and is holding.

Until payments go live on the platform, money is always zero: students pay you directly, bypassing the platform. So in the workspace you see obligations, your own bookkeeping and the monthly report, but no amounts "on the account".

Which lessons money is due for. Three kinds count the same way: finished lessons, late cancellations and no-shows. A simply cancelled lesson costs nothing. If you returned the charge on a late cancellation or a no-show, that lesson stops counting too.

The "Balance" card on the main screen

"Home" has a "Balance" card. It is a short summary, and the "More in Finance →" link leads to the detail.

Every line uses the same window: the last 30 days, not a calendar month. That is deliberate: on the first day of a month a calendar month would show an almost empty card, and that reads as "there is no money".

Right now, while payments are off, the card has two lines.

The first line. Usually it is "Last 30 days": the amount and the number of lessons money is due for. But if you have lessons that were never settled, the first line changes to "Unpaid, all time" and is highlighted.

That is intended: "lessons held, worth 80,000" next to an unnoticed debt of 12,000 is a progress report instead of the single number that actually needs doing something about.

The words "all time" say exactly what they mean: this line has its own window. The other lines count the last 30 days, while the debt is counted for all time. That is on purpose: a lesson nobody paid for forty days ago matters more than any other number, and a 30-day window would simply hide it.

The second line is called "Received in 30 days". It holds the sum of lessons you marked as paid directly, over the same 30 days.

When payments go live there will be four lines: "On hold" (students' money sitting there until the lesson), "Available" with a "Withdraw" button, and "Paid out in 30 days" will join the first. Right now those lines are simply absent, and that is not a fault: showing a zero under the word "Available" would send you looking for missing money.

The "Finance" section: what is in it

The section opens from the bottom menu on a phone or from the header on a computer. At the top there is a "Finances" block with a period switch on the right: week, month, year. It affects the amounts below.

The top block. While payments are off, instead of an amount to withdraw there is an explanation that payments through the platform are not live yet, with a note that lessons are tracked while you receive the money directly from students, and that marking a lesson as paid shows what has been settled.

When payments go live, this place will show "Available to withdraw" with an amount and a "Withdraw" button.

There are no blocks about platform money at the moment. Until payments go live, the section does not show "In escrow", "Received this week" (month, year), "Social payments" and "Platform fee". All four are counted from payments through the platform, and there are none, so an eternal zero in a money line would read as money gone missing.

When payments go live those blocks appear: "In escrow" with a note that it is released per lesson and a breakdown by student, "Received this week" with a breakdown by payer, and at the bottom, in grey, the withheld "Social payments" and "Platform fee".

The absence of a social payments line does not mean there are no taxes. While nothing is withheld on the platform side, you calculate and pay them yourself.

"Lessons held, worth" is your obligations for the chosen period. With payments off, this is the real number: that is what you earned.

Under it, while payments are off, there are two more lines:

  • "Paid directly" with the number of lessons next to it. That is what you marked by hand;
  • "Awaiting payment". The difference between held and paid.

"N completed lessons" unfolds the list of lessons for the period. If there are none, it says so.

"Request history" appears only once you have made withdrawal requests. The last three are shown, and the "All withdrawals →" link filters the feed of operations below.

The "Paid directly" mark

This is the main bookkeeping tool while money goes past the platform.

How to set it: the "Mark as paid" button in the lesson card. It is described in detail in the chapter on lessons. In short: the button exists only for lessons money is due for, and it disappears if you returned the charge.

What changes after the mark:

  • the lesson moves from "Awaiting payment" to "Paid directly";
  • its amount joins the "Received in 30 days" line in the "Balance" card;
  • in the monthly report its "Payment" column says "Outside the platform";
  • the lesson can no longer be deleted, and its price can no longer be changed.

Made a mistake? Press the button that removes the mark and everything goes back.

The mark tells the platform nothing about your money and is sent nowhere. It is your own bookkeeping, so you do not have to keep in your head who has settled up.

The feed of operations

In "Finance", below the finances block, there is an "Operations" block with filters for all, top-ups, payouts and withdrawals, and a student picker.

The feed shows money moving through the platform. While there is none, it says there are no operations yet. Lessons marked as paid directly do not appear in the feed: they never went through the platform.

The monthly report

The "Monthly report" link sits in the header of the "Operations" block and opens a separate page.

At the top: a back button, a month picker and two buttons, "Download CSV" and "Save as PDF". The second simply opens the browser print dialog, where the page can be saved as PDF or printed.

The month list holds the last 12. A future month cannot be picked.

What is in the report. The heading, your name, the period and the date it was generated.

Then a table of lessons with columns: date, time, student, subject, duration, price, status and payment.

The payment column has four possible values:

  • "Package", if the lesson is covered by a paid package;
  • "Platform", if the money came through the platform;
  • "Outside the platform", if you marked the payment by hand;
  • "Unpaid", if neither.

Below it there is a "By student" table with columns for student, lessons and amount, and under it a total row with the overall amount and the number of lessons.

The line for the receipt. At the very bottom of the report there is a note: for a receipt in e-Salyq, the income received during the month is such and such. That is the number you enter into the self-employment app when you issue a receipt and pay the tax yourself. The platform does not do it for you yet.

Note that this is not the total from the table above. Only lessons whose money has already arrived go into the receipt: those covered by a package, those that went through the platform, and those where you pressed "Mark as paid". Lessons marked "Unpaid" do not, because no income has come from them yet.

If there are unpaid lessons in the month, a second line sits under the receipt line, saying how much is still unpaid and that those lessons will enter the receipt of the month they are settled in. That line is what explains the difference between the two numbers. When everything is paid, there is no second line.

What gets into the report. Only lessons money is due for: finished ones, late cancellations and no-shows. Returned charges do not count. If there were no such lessons in the month, a line replaces the table saying there are no lessons money is due for.

CSV is the same list of lessons as a file that opens in Excel or Google Sheets. Handy if you keep your own books.

Pricing and the free pilot

"Finance" has a "Your month" card. It holds one line, such as "Right now 5 students, Master tier, 5,000 ₸ a month", with a note that students with at least one lesson this month are counted.

There are three tiers:

  • Basic up to 2 students, free;
  • Master from 3 to 7 students, 5,000 ₸ a month;
  • Prime from 8 students, 10,000 ₸ a month.

How students are counted. The current month is taken, along with every student who has at least one lesson in it, excluding cancelled ones and those where you returned the charge. A scheduled lesson counts too: the platform will not wait for it to happen. Each student counts once, however many lessons they have.

A couple of non-obvious things follow. An archived student with a lesson this month is counted. A student you have but who did not study this month is not. So the number in the card may differ from the length of your student list, and that is not an error.

The number is live: it shows what would happen if the month ended today. The invoice is issued after the month ends, by fact.

During the pilot no invoice arrives. If your tier works out to a paid amount, a green note appears next to it saying that no invoice is issued during the pilot. The platform keeps counting your tier and keeping the history, but charges nothing and asks for nothing. There is no way to pay in the workspace at all right now.

Storage space. By design it comes with the tier: 200 megabytes on Basic and 2 gigabytes each on Master and Prime. But until paid tiers are switched on, every tutor has the same 200 megabytes, whatever tier the card shows. The larger allowance starts working together with paid pricing.

YouTube and Google Drive links take no space at all; only uploaded files count.

Payout details

"Finance", the "Payments through the platform" card. Right now it carries a "Not connected yet" mark and an explanation that students pay directly and that paying on the site will come later. In that state there is no "Edit" button, and there is nowhere and no reason to enter payout details yet.

When payments go live, the card gains a switch for accepting payments through the platform and a field for the account the platform will transfer your money to.

Two conditions worth knowing in advance:

  • turning payments on or entering payout details requires a confirmed phone number. Without one, a "Confirm your phone number" block appears right in the card;
  • when payout details are changed again, the workspace may ask you to confirm it is really you, offering Telegram, Google or an SMS code. That is protection against substituted details.

Saved details are shown partially, with only the last digits visible.

Withdrawing money

Withdrawals start working together with payments; right now there is nothing to withdraw.

How it will look: a "Withdraw" button in the finances block, then an amount field with a maximum hint and a "Confirm" button. More than what is available cannot be requested.

If there are no payout details yet, the form is replaced by a line asking you to add them in payment settings and a "Set up" button that opens the right card further down the same page. Once the details are saved, the workspace brings you back to the withdrawal form by itself.

A request goes through the states pending, processing, completed or rejected. They are shown in the "Request history" block.

For yourself: payments, and with them withdrawals, escrow and withheld amounts, are switched on by a single key on the server. While it is off, the entire money circuit in the workspace shows zeros by construction, not because of a bug.
