Signing in to Ustazym, roles, language, notifications and account deletion: what works the same way for tutors, students and parents.

Who is who: three roles

Ustazym has three roles, and each one has its own workspace.

  • Tutor runs the schedule, the students, homework and money.
  • Student sees their lessons, assignments and messages with the tutor.
  • Parent sees the same for their children and is responsible for paying.

The role is set when the account is created. Tutors sign up themselves; students and parents usually arrive through a tutor's invitation.

How to sign in

The sign-in screen is called "Sign in to Ustazym", and under the heading it says "Sign in any way you like, it is the same account". That is exactly how it works: however many methods you use, there is still one account, and the methods simply attach to it like spare keys.

There are four of them.

Google. The Google button comes first. You press it, pick your Google account and land straight inside the workspace.

Telegram. The "Sign in with Telegram" button opens the Telegram app and our bot. In the bot you press the button that shares your phone number. The bot then sends a six-digit code, and the site shows a field for it. Enter the code and you are in. If you get the code wrong several times in a row, you will see a message asking you to press "Share number" in Telegram again so the bot can send a new code. If the tab has been open for too long, the message says the link has expired and asks you to press "Sign in with Telegram" again.

Phone. Under the "or by phone number" divider there is a field for the number and a "Get code" button. An SMS arrives and you type the code into the "Code from SMS" field. You can ask for a new code, but not immediately: the "Send code again" button shows how many seconds are left.

Email link. The sign-in screen has a quiet "Sign in by email" link. It is the fallback for people whose other methods are unavailable. You enter your address, we send a link, and the email says the link is valid for 15 minutes. One thing matters here: the email only goes to an address already attached to your account. You cannot create a new account by email.

If you do not have an account yet

When you sign in by phone and we have no such account, right after the code check you get a "What is your name?" step with the note that the number is confirmed and only the introduction is left. You fill in your first and last name, press "Continue", and the account exists. There is no separate registration.

Which methods are available

The set of buttons on the sign-in screen is not always the same: if SMS delivery is temporarily switched off on our side, the phone field is not shown at all and you only see Google and Telegram. That is not a fault, just not every door is open right now.

Accepting the terms

When you sign up, and when you follow an invitation, the consent checkbox is visible right above the sign-in buttons: "I accept the terms of use and the privacy policy". Until it is ticked, the sign-in buttons do nothing.

On an ordinary sign-in there is no checkbox: you are assumed to have accepted already. But if it turns out you have no account yet, the checkbox appears with a note asking you to tick it and try again. In that case you pick your sign-in method once more, this time with the box ticked.

If we update the terms, your next visit to the workspace shows a "The terms have changed" dialog explaining that the terms of use were updated and asking you to read them and confirm. There are two buttons: "Read the terms" and "Accept and continue". The workspace stays behind the dialog until you confirm.

If you have several roles

It happens that the same person is both a tutor and the parent of their own child. In that case the account settings in "Profile" show a "Mode" switch with "Tutor", "Parent" and "Student". It switches the workspace without creating a second account.

If you have a single role, there is no switch at all: a list with one item is not worth showing.

This is the part people misread most often, so it is explained once here, and the rest of the guide uses the same words.

Every tutor and student pair has a link, and the link has exactly two states:

  • active is the normal one: lessons can be scheduled, homework given, messages exchanged;
  • archived is a pause: no new lessons can be created for that student, everything else stays where it is.

There is no third state. There is no "delete student" anywhere in the product: archiving is how you take a student out of sight without erasing anything.

What happens in the archive:

  • the student leaves the tutor's main list and moves into a collapsed block;
  • lessons already scheduled stay on the calendar and are not cancelled;
  • lesson history, homework, payments and messages are kept in full;
  • one button brings the student back at any moment.

One state, different words on different screens. That follows from looking at the link from different sides:

  • the tutor's button says "Archive", the collapsed block says "Archived (N)", and the way back is "Restore";
  • if the tutor tries to schedule a lesson for an archived student, the message uses the word "paused": it is the same state;
  • in the student's "Profile" such a tutor moves from "My tutors" to "Studied earlier". Messages stay, and a review can still be left;
  • parents have no separate "Studied earlier" list: their tutor list is built from links with payments, and the archive is not marked there at all.

In this guide the word "archive" is used wherever the state of the link is meant, and "Studied earlier" only as a label on the student's screen.

The archive has nothing to do with deleting an account: that erases a person's data, and it is a separate conversation at the end of this section.

Language and appearance

In the workspace header, to the right of your name, there are two round buttons with no labels.

Theme. The button shows a sun or a moon, depending on the current look. Pressing it opens a list: "Light", "Dark", "System". "System" means the workspace follows the settings of your phone or computer.

Language. The button shows the code of the current language: RU, KZ or EN. Pressing it opens a list of three. Kazakh is marked "beta": the translation has not been reviewed by a native speaker yet and may be rough in places.

Your choice is saved in your profile, so another device shows the same language. If saving fails, the language does not switch: we do not show one language while having stored another.

The app on your phone

Ustazym can be installed on a phone like a regular app, with its own icon. It is not a separate program from a store, it is the same site saved to your home screen.

The hint sits in the tutor's first-steps checklist, in the step "Install the app on your phone" with the note that lesson notifications will then reach your screen.

  • On iPhone: open the site in Safari, press "Share", then "Add to Home Screen".
  • On Android: open the site in Chrome, press the three-dot menu, then "Install app".

There is no "Install" button inside the workspace itself: installation is done by the browser.

Notifications

The settings live in "Profile", in the "Notifications" card.

Where they arrive

  • The bell in the workspace. Always on, nothing to enable. It lives in "Messages", under "Notifications".
  • Telegram. If you signed in with Telegram, messages arrive in the same chat with the bot. Nothing to connect separately.
  • Push on your phone. Turn it on with the "Turn on push notifications" button. The browser asks for permission. If you once denied it, the workspace says the notifications are blocked in the browser and that the block can only be lifted there, through the lock icon next to the site address. Permission cannot be restored from the workspace, only in browser settings.

If the browser cannot do push at all, you will see that only the bell in the workspace remains. Push is turned on separately on each device. Under the heading you can see how many devices already have it.

What arrives

Briefly, by role:

  • about lessons: a reminder two hours before and another half an hour before the start; a lesson moved; a price change; a cancellation; a late cancellation and a no-show;
  • about homework: an assignment given, a student submitted, a tutor reviewed, the deadline is tomorrow;
  • about money: payment received, the last lesson of a package, a package finished, a subscription charge;
  • about people: an invitation accepted, someone wrote in the chat, a counterpart is leaving the platform;
  • for tutors only: Google Calendar access expired, payout details changed, the yearly self-employment limit is close;
  • for payers: a monthly report for the past month.

Quiet hours

A "Do not disturb" switch and two time fields with "to" between them. By default the silence runs from 21:00 to 08:00. The note underneath explains that push does not arrive during these hours and waits until morning, with one exception: a reminder for a lesson that falls inside the quiet hours.

So if a lesson is set for 07:30, its reminder arrives even though the silence has not ended. Everything else waits.

One digest in the evening

The "One digest in the evening" switch explains itself: instead of separate notifications. Lesson reminders still arrive, because they are the reason push was turned on at all.

The digest arrives in the evening, around eight. If you moved the start of your quiet hours earlier, the digest comes earlier too, so it does not land inside the silence.

Even without that switch some calm events are collected until evening anyway: everything about homework, expired calendar access and the monthly report. Anything urgent (money and time) arrives at once.

One more limit: no more than three push notifications a day, not counting lesson reminders. Lesson reminders are outside that limit.

Signing out

The "Log out" button sits in "Profile", in the very first card, under your details. While the card is being edited the button is hidden, so it does not get pressed instead of "Cancel".

Deleting your account

"Profile", account settings, the "Delete account" block at the bottom. The note explains what happens: your profile and personal data are erased, while the history of lessons and payments stays with your students and tutors, because those are their records too.

When deletion is blocked

The button does nothing while you still have open obligations. The reason is spelled out:

  • there is money in escrow on your balance, and it has to be withdrawn or returned first;
  • there is an unpaid subscription charge;
  • there are scheduled lessons, and they have to be cancelled because people are counting on them.

Close what is named, then try again.

How it goes

  1. You press "Delete account", then "Continue to confirmation".
  2. A dialog asks you to confirm it is really you, explaining that deletion becomes irreversible after a year and asking you to confirm with one of your sign-in methods. Telegram or an SMS code will do.
  3. After that a line appears with the date your account will be deleted, noting that any sign-in before that day cancels the deletion. The date is 30 days away.
  4. For those 30 days nothing changes. If you change your mind, just sign in or press "Cancel deletion".
  5. After 30 days your personal data is erased. Your students and tutors see "Deleted user" in your place. For another year, signing in brings the account back.
  6. After a year the sign-in methods are removed and there is no way back.

Money records (payments, withheld amounts, subscription charges, tax records) are never deleted: they are not your personal data, they are the platform's obligations.
